FULL VEHICLE RENTAL TERMS & CONDITIONS (Passenger Cars, Vans, Flex, Leasing) This document sets out the detailed terms and conditions governing the rental/lease of vehicles by us and applies to all passenger car and van rentals, as well as Flex (month-to-month) and Leasing programs, unless otherwise agreed in writing special offer/contract). By making a reservation, signing a contract and/or taking delivery of a vehicle, the Renter declares that they have read, understood, and fully accepted these terms and conditions.

1. Definitions “Company” / "We" / "Us": the vehicle rental company leasing the vehicle. “Renter”: the person signing the contract and responsible for all obligations. “Driver” / “Authorized Driver”: a person declared and approved by us to drive the vehicle. “Vehicle”: the rented passenger car or van, including all accessories (keys, documents, equipment). “Short-term rental”: rental for a limited number of days. “Flex”: monthly (month-to-month) rental of a passenger car or van. “Leasing”: long-term rental of a passenger car or van (under specific terms/agreement).

2. Rental Requirements – Documents At a minimum, the following are required:

Valid driving license

Identity card or passport

Contact details (phone, email) and residential/temporary address

We may request additional documents or information ( proof of address, company details, VAT number) if deemed necessary. The Renter declares that all provided information is true and accurate. Providing false or inaccurate information may result in refusal of vehicle delivery and/or termination of the rental.

3. Reservations – Confirmation – Modifications Reservations may be made via the website, by phone, or through other means specified by us. A reservation is considered confirmed only after our confirmation and is subject to vehicle availability. We reserve the right to offer an equivalent vehicle of the same or higher category, where possible and without extra charge, if the originally selected vehicle is unavailable. Any changes (dates, times, pick-up/drop-off location, driver) must be communicated in a timely manner and are subject to availability.

4. Prices – Payments – Security Deposit (Exceptional) Rental prices depend on the season, duration, vehicle category, and rental program (short-term, Flex, Leasing). Available payment methods may include:

Payment upon vehicle delivery (method determined by us)

Credit/debit/prepaid card

Bank transfer

PayPal

We reserve the right, in exceptional cases, to request a security deposit/pre-authorization, particularly depending on the Renter’s profile, rental duration, vehicle category, and/or other rental details.

5. Delivery – Return – Timing – Out-of-Hours Charges The vehicle is delivered in good working condition. Upon delivery, its condition is recorded (photos/forms), and the Renter must inspect and immediately report any remarks. Free delivery/collection is provided from 08:00 to 23:00 at predefined locations (indicatively: Thessaloniki Airport, KTEL Bus Stations, Railway Station, city hotels), by prior arrangement. For delivery or collection outside the above hours, a €20 charge per event (delivery and/or collection) applies.

6. Drivers – Use by Third Parties Driving is permitted only by the Renter and declared/approved authorized drivers. Driving by an unauthorized person is prohibited and may void all insurance coverage. The Renter is jointly and severally liable for the acts or omissions of any authorized driver.

7. Mileage Unless otherwise agreed in writing, mileage policy is as follows:

Short-term passenger car rental: Unlimited mileage

Passenger car Flex & Leasing: Up to 2,500 km per month

Vans (Van Rent, Van Flex, Van Leasing): Up to 5,000 km per month

Exceeding the agreed mileage limit results in additional charges according to the applicable price list and/or contract.

8. Fuel The vehicle is delivered with a specific fuel level and must be returned with the same level. If returned with less fuel, the Renter is charged for refueling and may incur a service fee. No refund is provided if returned with more fuel. Refueling with the wrong type of fuel constitutes a serious breach, and the Renter bears all related costs (towing, repair, cleaning, immobilization).

9. Late Return – Non-Return The Renter must return the vehicle at the agreed date, time, and place. A grace period of up to 1 hour is provided exclusively for unforeseen delays. After the grace period, We may charge an additional rental day and/or extra fees according to the price list/contract. In case of non-return without notice, we may take all lawful actions to recover the vehicle.

10. Insurance – Coverages – Reference to Separate Policy Insurance coverages and exclusions are detailed in the separate document “Insurance Coverage Policy & Detailed Exclusions”, which forms an integral part of these terms. Indicatively, the following may be offered (depending on program/options):

Mandatory third-party liability insurance

CDW (basic damage coverage)

PDW (partial damage coverage with reduced excess) – optional, extra charge

SCDW (zero excess with exclusions) – optional, extra charge

TP (theft protection) – optional, extra charge

All coverages apply only if these terms and the insurance policy conditions are fully complied with.

11. Prohibited Use – Alcohol – Traffic Violations Driving under the influence of alcohol, drugs, or substances affecting driving ability is strictly prohibited. In such cases, all coverages are void and the Renter bears full liability. The Renter is fully responsible for all traffic violations, fines, administrative and/or criminal penalties, as well as any related costs incurred by us. Additionally prohibited (indicatively):

Use off paved roads (off-road/dirt/non-asphalt surfaces)

Participation in races, speed tests, or dangerous driving

Subleasing/handing over to third parties or use by unauthorized drivers

Transport of illegal or hazardous goods

12. Travel Outside Greece – Ferries Taking the vehicle outside Greece is prohibited. Transporting the vehicle by ferry or any sea transport is also prohibited without prior written and explicit consent from us. Breach results in cancellation of coverage and full liability of the Renter.

13. Special Van Terms Vans are intended for lawful transport of goods/equipment in accordance with their technical specifications. Overloading or exceeding manufacturer limits is prohibited. The Renter must ensure proper and safe loading. Damage caused by improper loading or overloading is solely borne by the Renter.

14. Accident – Procedure In the event of an accident, theft, fire, or other incident, the Renter must immediately:

Notify the police where required

Inform us immediately

Record details of involved parties and witnesses

Complete/sign an accident report and submit all relevant documents

Failure to follow this procedure may result in loss of coverage and charges to the Renter.

15. Breakdowns – Roadside Assistance – Vehicle Replacement In case of mechanical failure, the Renter must contact roadside assistance and follow instructions. Repairs or invoices without prior notification and written approval from us are not permitted. We will make every reasonable effort to replace the vehicle within a reasonable time, subject to availability.

16. Cleanliness – Smoking – Interior Damage Smoking inside the vehicle is prohibited. Burn damage or strong odors may result in cleaning/restoration charges. The Renter is responsible for interior damage (seats, dashboard, trim) beyond normal wear and tear.

17. Loss of Keys/Documents – Equipment Loss or damage of keys, documents, or vehicle equipment is charged to the Renter according to the price list/replacement cost.

18. Personal Belongings We bear no responsibility for personal items or luggage left in the vehicle. Theft of personal belongings is not covered unless expressly stated otherwise in the insurance policy.

19. Personal Data Protection We processe personal data in accordance with applicable law (GDPR) for rental execution, customer service, and legal compliance. Data may be shared with authorities or insurers only when legally required or for incident handling.

20. Miscellaneous – Amendments – Severability Failure by us to enforce any right does not constitute a waiver. If any term is deemed invalid, the remaining terms remain in force. These terms may be updated; the applicable version is the one in force at the time of rental.

21. Jurisdiction Any dispute is subject to the exclusive jurisdiction of the courts of Thessaloniki, Greece, and governed by Greek law.
